Branch Manager, DFW - AMI (Administrative)



The Branch Manager will be responsible for the successful operation and management of the Branch and ensure a high standard of customer service is achieved.  In addition, you will maintain a standard of prompt and efficient freight movement and ensure that all data entry is accurately recorded both manually and according to company and industry regulations and standards.  Products include general import and export, Express, handling operations, domestic freight, road transport and 3PL.

You will set budgets accordingly with the Vice President to ensure that revenue and profit goals are consistently met.  You will conduct regular customer calls to develop and improve customer relations and performance and gain new business in cooperation with the Sales team.

By providing leadership and maintaining a level of professional behaviour, it is expected that you will develop, coach and provide a culture of learning and development in all areas of the business. 

General:

  • Knowledgeable in company policies, pricing, sales, and administration procedures and all value-added services such as computer applications, management reports, overseas agent and office network.
  • Monitor all warehouse operations to ensure timely flow of all inbound and outbound cargo.
  • Provide ‘hands-on' assistance and support to the Import, Export and Warehouse Team in their daily activities as required.
  • Timely and professional response to all Claims using the Claims Policy and Procedures. Advise your Reporting Manager immediately as to any significant claims issues.
  • Ensure Weekly warehouse checks are being completed and acted on immediately.
  • All freight to be collected from handling companies within the free storage period, to make certain that no demurrage charges are levied on the company.
  • Delegate effectively to ensure consistent work output is achieved from all employees.
  • Fortnightly review of CASS Billings Discrepancy Report and ensure corrective action is taken immediately.
  • Provide monthly updates to your Reporting Manager for all outstanding CASS Billing discrepancies.
  • Develop and provide for consistent administration of rate application, service procedures, computer entries, expenses, training and personnel matters.

    Finance and Budgetary Reporting:

    • Responsible for setting and achieving budgets in all areas of import, export, handling, courier operations.
    • Responsible for growing profitable business in defined areas in order to meet revenue and profit goals.
    • Responsible for “Cost Control” and “Wages Control/Overtime/Casuals”.
    • On a weekly basis, monitor and ensure that all jobs are invoiced and costed accurately.

    Sales:

    • Maintain awareness of competitive activity and opportunities. Keep informed of new services and other general information of interest to employees and customers.

    Company Policy, Procedures and Industry Regulations:

    • Ensure employees follow and ensure all Customs, Office of Transport Security regulations are met.
    • Ensure employees liaise with Customs, Office of Transport Security personnel in a professional manner.
    • Ensure employees follow our Company Corporate Governance and Policy and Procedures.
    • Ensure we follow and maintain Environmental procedures

    Safety and Security:

    • Maintain a high priority of security and safety for our people, visitors, property, freight and operations.
    • All warehouse machinery, equipment and company vehicles to be maintained and treated with safety, kept clean and in good working condition.
    • Ensure all employees maintain a tidy and efficient work environment.
    • Ensure employees understand and follow company safety and security policy and procedures.
    • Report on any incidents/accidents.
    • Attend any safety and security training offered by the company to maintain safety for employees and visitors.

    Communication and Customer Service:

    • Ensure your team action all emails and telephone calls within 2 hours.
    • Reinforce understanding and training in conflict resolution techniques with employees to ensure a high standard of customer satisfaction is achieved.
    • Ensure customer complaints are dealt with in an effective and positive manner to ensure complete customer satisfaction.
    • Regular communication and discussion with your reporting manager, Vice President Operations, regarding any service standards and concerns.
    • Conduct regular meetings with team to ensure effective communications with employees.

    Human Resources and Training:

    • Maintain and ensure your team's performance related reviews are conducted at the scheduled review times or as required.
    • Attend to employee behavioural matters and seek assistance from Vice President and Human Resources.
    • In conjunction with HR, responsible for employment issues, interviewing, hiring, termination and training of new personnel.
    • Attend training courses offered by the company to up skill professional and industry knowledge.
    • Manage and coordinate employee training in all company and operational procedures.

    Qualifications and Licences:

    • Current Dangerous Goods Acceptance Qualification
    • Current Car License
    • A minimum of 10 years experience in freight forwarding is required.
