Trust Operations Assistant 1 (Administrative)
Position Title: Trust Operations Assistant 1
Position Reports to: Director of Wealth Management Operations
Position Supervises: No Direct Reports
Support the company's mission statement by performing the duty of maintaining a high-level of customer service through developing new customer relationships and retaining and expanding existing business. The Trust Operations Assistant is responsible for providing daily trust accounting functions and clerical duties that supports the trust department and the trust officers. Demonstrate and implement our Trusted Advisor strategy to all internal and external customers.
· Complete accurately daily trust accounting functions, including but not limited to checking account reconciliation, disbursement processing, processing of checks, wires and ACHs and trust deposits, and reconciliation of mutual fund and broker statements.
· Manage security maturity report and security reorganization paperwork.
· Set up and manage paper or electronic filing systems, recording information, updating paperwork or maintaining documents, such as correspondence and other client documents.
· Perform routine clerical and administrative functions such as drafting correspondence and organization and maintaining paper and electronic files.
· Complete various clerical duties.
· Process mutual fund, equity, and bond trades.
· Assist with new account paperwork for the Trust Officers.
· Gather documentation for insurance, real estate annual reviews, and unique/hard to value assets.
· Track and process bills for trust accounts.
· Perform annual ILIT beneficiary mailing for address confirmation.
· Assist with annual mailing of tax forms, primarily the trust tax returns.
· Backup to other trust operations assistant.
· Backup to Wealth Management phone line.
· Complete other duties as assigned.
· High school graduate or equivalent. Associates degree or equivalent work experience required. Bachelor's degree preferred.
· One or more years of administrative experience, preferably in the financial services area.
· Excellent customer service and verbal and written communication.
· Sound organizational skills.
· Ability to prioritize and meet deadlines.
· Experience with Microsoft Word and Excel.
· Responsible for knowing and ensuring compliance with applicable laws, regulations and guidelines, as detailed in policies that include but are not limited to Bank Secrecy Act and other applicable anti-money-laundering rules, Right to Financial Privacy, Fair Lending, Community Reinvestment Act, Gramm-Leach-Bliley Act, and other laws and regulations as they pertain to the position
This job operates in a professional office environment. Work is normally performed in a typical interior work environment which does not subject the employee to any hazardous or unpleasant elements.

While performing the duties of this job, the employee is regularly required to speak or hear, stand or sit for long periods of time, open filing cabinets, walk, stoop or bend, use hands to handle or feel and reach with hands and arms. The employee must frequently lift and/or move up to 10 pounds, occasionally lift and/or move up to 25 pounds and complete tasks requiring manual dexterity. Ability to drive a vehicle for travel is required for the position.
