POSITION SUMMARY:
This position is responsible for planning unit meetings, conferences, and special events, which include educational, social, entertainment, and fundraising. This role is essential in ensuring that events are aligned with the new College of AI, Cybersecurity, and Computing's evolving vision, fostering collaboration, promoting cutting-edge advancements in AI, cybersecurity, and computing, and enhancing engagement among students, faculty, industry partners, and stakeholders. The Events Manager will be responsible for creating positive and memorable experiences that reflect the college's commitment to innovation, leadership, and scholarship in these rapidly advancing fieldsMINIMUM:
Bachelor's degree and four years experience in a related field or a combination of post high school education and experience equal to eight years.
PREFERRED:
Certified Meeting Professional (CMP) or similar credential is a plus, or certificate in Events Planning with two (2) or more years of event planning experience. Proficient in the use of event management and project management tools. Strong interpersonal and communication skills, attention to detail, multi-tasking and excellent planning and organization abilities.The University of South Florida is a high-impact global research university dedicated to student success. Responsible for managing the strategy, planning, and execution of University meetings, conferences, and/or special events, including social, educational, entertainment, and fundraising events
Monitors and controls event budgets and negotiates all necessary contracts
Oversees and coordinates all amenities and accommodations related to the event, including but not limited to facilities, room set up, lighting/sound, safety/security, catering, and personnel needed for each event
Serves as primary liaison with internal and external constituencies on all matters relating to program activities; represents the unit with respect to program activities on a local, regional, and/or national basis.
Develop, document, and regularly update comprehensive standard operating procedures (SOPs) for all events under purview, ensuring they cover all aspects of event planning, execution, and post-event evaluation while aligning with organizational goals, best practices, and compliance requirements.
Evaluate program and event histories, budget considerations, contractual provisions, and planning committee recommendations to determine requirements as to space, facilities, technology, equipment, lodging, catering, and on-site management
Collaborate with communications team(s) to conceptualize, create, and develop a wide range of marketing and promotional materials for events, including but not limited to notices, social media posts, flyers, press releases, event programs, email campaigns, digital graphics, website content, and other multimedia assets, ensuring alignment with event objectives and brand messaging.
May facilitate production of events by coordinating with performing groups, arranging publicity, etc.
May develop and strengthen campus and regional alumni programs; plan/implement major homecoming and reunion events
