Executive Assistant to the Chief People Officer (Government)

The Need 

After almost 25 years of continued growth and operational success in pioneering the work of protecting those who are experiencing poverty from violence, IJM has become a $100+ million organization. As IJM continues this trajectory of growth and scaling of its impact, with the Vision to protect 500 million people by the year 2030, IJM's Chief People Officer (CPO) and leader of the Global People Support (GPS) team, is seeking a mature, experienced, and energetic professional to provide administrative and project support.  The CPO and Executive Assistant will succeed through daily interaction and collaboration to establish shared goals, determine priorities, manage tasks, and generate clear, consistent communication. 

The Executive Assistant will have the ability to exercise superior judgment in a dynamic leadership environment, with strong written and verbal communication, administrative, and organizational skills. The ideal individual will be able to thrive in a fast-paced and rigorous environment, steward a wide variety of activities and confidential matters with discretion, and partner with the CPO to balance competing priorities to maximize the productivity and effectiveness of the CPO.

This position is based at IJM Headquarters in the Washington, DC area, and reports to the Chief People Officer.

Responsibilities:

Represent and Provide Executive Support to the CPO

  • Provide high quality administrative support to the Chief People Officer resulting in effective use of their time;
  • Serve as the primary point of contact for the CPO internally and externally, communicating questions and concerns appropriately to the CPO;
  • Serve as Cost Center Reviewer for the CPO, ensuring expenses hitting their cost center are done in accordance to budget and finance policies and accounted for correctly;
  • Coordinate all aspects of the CPO's travel arrangements;
  • Process CPO monthly travel and expense reports;
  • Equip the CPO to participate fully in meetings through comprehensive preparation;
  • Attend certain meetings with the CPO and follow up appropriately when necessary;
  • Maintain the CPO's calendar based on agreed upon priorities including scheduling time for essential tasks and cueing up regular tradeoff discussions with the CPO;
  • Monitor the CPO's email inbox by drafting correspondence on behalf of the CPO, flagging significant pieces of communication to ensure timely follow-up, and tracking requests;
  • Prepare materials to enable the CPO to meet important deadlines;
  • Assist the CPO in managing and tracking divisional and cross-functional projects, ensuring all CPO deadlines are met within communicated timelines;
  • Advance action items for the CPO's meetings;
  • Assist the CPO in facilitating the engagement and onboarding of new GPS hires, and;
  • Model excellence and professionalism for the organization in attire, language, attitude, and demeanor as a representative of the CPO.

Provide Administrative Support to Global People Support

  • Assist in managing the GPS department SharePoint Intranet;
  • Organize divisional meetings to ensure updates are communicated on project progress, staffing, department needs and deadlines, as well as to foster team morale and unity;
  • Serve as a point of contact for the GPS division within and outside of GPS by dispersing communication to both internal and external stakeholders on GPS processes, rollouts, initiatives, and policies;
  • Take minutes during division meetings, schedule follow-ups as necessary, record next steps and delegate responsibility of tasks;
  • Maintain awareness of the GPS schedule and any major conflicts while coordinating cross-departmental meetings;
  • Plan and execute GPS social rhythms, including monthly and quarterly events and activities;
  • Arrange GPS staff appreciation initiatives and team-building activities; and,
  • Serve as a contributing member of the senior leadership administrative team by attending meetings and retreats and serving on related project teams.

Requirements:

  • At least 3 years of experience in providing top-level administrative support in a fast-paced, professional environment;
  • Bachelor's degree in Human Resources or Business Administration or equivalent;
  • Superior administrative capacity to manage many projects and tasks simultaneously and to complete them with minimal oversight
  • Exceptional verbal and written communication;
  • Customer service;
  • Excellent planning and implementing skills;
  • Strong experience in MS Office (including Word, Excel, PowerPoint, Outlook, SharePoint, etc.)
