Job purpose
Tiny Boxwoods Productions Events & Reservations Coordinator is a direct representation of our brand and culture. They are responsible for coordinating the overall organization and development of the events department and reservation systems with the General Manager. The Events & Reservations Coordinator is expected to build on the reputation of our private events spaces, along with the grown of their own reputation as part of the Tiny Boxwoods Productions brand.
Duties and responsibilities
The primary job duties and responsibilities of the Events & Reservations Coordinator include but are not limited to the following:
Plans, coordinates and organizes guest bookings for special events.
Meet with potential clients for event space tours, including being available to guests inquiring about events throughout lunch service.
Manage restaurant reservations. This includes preparing a daily summary to managers for evening shifts.
Work in conjunction with the restaurant host team to ensure reservations systems are managed and that special requests/accommodations are met for our guests.
Spearhead event logistics.
Assist with hiring and training event staff.
Oversee inventory of smallwares for private event spaces.
Assist at times with managing bulk cookie orders.
Must be knowledgeable and manage event booking software.
Maintain list of local events and communicate those to the restaurant daily.
Oversee with marketing for event spaces.
Printing of menus, postcards, and any marketing materials related to events.
Assist with coordinating and planning internal Tiny Boxwoods Productions events.
Must learn and be knowledgeable of the food and beverage menus at the restaurant.
Clear communication and timely response to emails and inquires.
Works on special projects.
Performs other duties as assigned.

Physical requirements
While performing the duties of this job the incumbent is regularly required to talk, hear, read and write. The incumbent is frequently required to stand; walk; use hands and arms to reach, type, file and write. Specific vision abilities required include close vision and distant vision, and ability to adjust focus. The incumbent is occasionally required to sit, stand, climb, balance, stoop, and crouch. The incumbent must frequently lift and move up to ten (10) pounds and occasionally lift and move objects up to twenty-five (25) pounds.
Qualifications
Tiny Boxwoods Productions require the minimum qualifications to successfully perform the position of Events & Reservations Coordinator.
Qualifications include:
Must be passionate about hospitality and Tiny Boxwoods Productions culture.
Prior events and marketing experience.
Flexible availability
Capacity to multitask and set priorities.
Ability to work independently and as part of team.
Excellent guest service skills.
Working conditions
The incumbent will be working primarily in a restaurant and events room setting. This role routinely uses standard office equipment such as computers, phones, copiers, scanners, and filing cabinets. While performing duties of this job, the incumbent may be exposed to extreme outdoor temperatures and loud noise levels. This is a full-time position that regularly requires long hours and frequent weekend work and availability.
