Sr College Ops Specialist (Project Management)



This position supports the Dean's Office by ensuring the effective use of the Dean's time in advancing college-wide projects and priorities through coordination of internal operations and facilitation of engagement with faculty, staff, students, alumni, and external partners. The role independently initiates and manages processes related to project execution, logistical planning, internal communications, strategic reporting, and activities that strengthen college operations and stakeholder engagement. It also collaborates closely with MarCom, Human Resources, and the Foundation to promote the college's initiatives, achievements, and strategic goals.

Job Duties:

  • Collect data and information on behalf of the Dean, preparing summaries, reports, and background materials as needed.
  • Develop and prepare materials that support the Dean's Office reporting needs, including accreditation, institutional effectiveness, and content that promotes college programs and priorities.
  •  Assist the Dean's Office with planning and logistics for internal meetings, advisory boards, and college-wide gatherings, including the preparation of briefing materials, talking points, and presentations.
  • Provide guidance to departments and programs in delivering student-focused or college-wide initiatives such as recruitment activities, academic onboarding, or public lectures.
  • Serve as the primary point of contact for the MarCom Account Executive assigned to the college on matters related to web content, faculty and program visibility, and public-facing communication, including select college-wide recognition and milestone events.
  • Serve as a liaison with the Foundation Development team to help facilitate alumni and donor relations, including periodic communications and college-hosted engagement opportunities.
  • Coordinate with Human Resources to support faculty and staff engagement efforts, including activities that foster recognition, development, and community-building.
  • Monitor expenditures related to college activities and initiatives to ensure alignment with budget expectations.
  • Seek feedback from college stakeholders to inform the continuous improvement of operational and engagement efforts.
  •       Analyze the impact of internal processes and engagement strategies and offer recommendations for operational enhancements.
  •       May be required to supervisor other support staff.
  •       Perform other duties as assigned to support the college's mission and operations.

Additional Responsibilities

  •       Provide oversight for the College Operations and Internal Engagement Specialist
  •       Provide oversight of college classroom scheduling.
  •       Perform other duties as assigned to support the college's mission and operational goals.

Required Education:  Bachelor's degree, AND:  

  • 48 months experience in administrative, event planning and coordination, outreach and management (will accept 48 months of relevant experience in lieu of the Bachelor's degree for a total of 96 months experience)
  • 36 months supervisory experience

Skills:

  • Highly organized and ability to handle multiple projects and deadlines.
  • Detail oriented for accuracy of data and information.
  • Ability to accurately read and understand written material and instructions.
  • Customer service skills.
  • Proficient in Microsoft Office (Word, Outlook, Excel, and PowerPoint)
  • Ability to effectively communicate verbally and in writing.

Certifications:

  •          Valid Oklahoma Driver's license to drive University vehicles and/or to pick up supplies and materials for events.

Advertised Physical Requirements:

  • Ability to engage in repetitive motions.
  • Ability to communicate verbally in order to express oneself and exchange detailed information with others.
  • Ability to lift up to 50lbs.
  • Frequent exposure to pressure caused by deadlines and busy periods.
  • Requires contact with other departments and university officials.
  • May be required to travel.

Departmental Preferences

  • Experience with Constant Contact or other digital email platforms
  • Experience with Canva and other design applications and software.
  • Knowledge of the OU procurement system.
