In February 2019, Intercept reported positive topline results from the Phase 3 REGENERATE study of OCA in patients with liver fibrosis due to nonalcoholic steatohepatitis (NASH), which impacts the lives of millions of people in the U.S. alone. Currently, there are no available treatments for NASH, and Intercept is among the leading companies focused on the disease.
POSITION SUMMARY:
As Intercept continues to build its position as the leader in progressive non-viral liver disease and pursues its goal of bringing the first approved therapy to patients with NASH, we are seeking an Executive Administrator of U.S. Commercial & Strategic Marketing.
The Executive Administrator of U.S. Commercial & Strategic Marketing provides high-level administrative and operational support for the President of U.S. Commercial & Strategic Marketing, Vice President of Global NASH Strategic Marketing, Vice President of U.S. Market Access, and Executive Director of U.S. Strategic Market Insights & Planning. As the lead administrator within the U.S. Commercial organization, this position is responsible for overseeing and coordinating activities with the other departmental administrators/coordinators - creating alignment and implementing measures to promote a standardized level of support across the broader team. The role requires a polished, friendly, energetic individual with high integrity who can represent the Commercial leadership team with diplomacy and professionalism in all interactions with peers, colleagues, senior leaders, and key customers. The successful candidate is a proactive self-starter who possesses exceptional multitasking and communication skills, displaying grace under pressure when met with tight deadlines and major deliverables.
CORE ACCOUNTABILITIES:
The successful candidate must be able to perform each of the following satisfactorily:
* Provide the highest level of executive support for the President of U.S. Commercial & Strategic Marketing; responsibilities include but are not limited to:
o Provide heavy calendar management, including Executive Leadership Team meetings (Board of Directors, Earnings) and departmental leadership meetings
o Handle on-site logistics for departmental meetings, including conferencing/presentation setup, conference room reservations (both virtual and live), office catering
o Manage departmental catering budget and invoice processing
o Arrange all aspects of executive travel, including air and ground transportation, hotel accommodations, event registrations, dining reservations, meeting logistics, and itinerary preparation
o Track, file, and review expense reports in accordance with company policy
o Conserve executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating communications
o Keep executive on track by flagging outstanding items, including contract, requisition, and expense approvals
o Act as executive's 'eyes and ears', reporting issues affecting the team; handle confidential information with the utmost discretion
* Provide general administrative support for the Vice President of Global Strategic Marketing, the Vice President of U.S. Market Access, and Executive Director of U.S. Strategic Market Insights & Planning, as well as their respective teams
* Act as member and coordination lead for the U.S. Commercial Leadership Team and Operating Team; responsibilities include: planning and calendaring all calls/meetings; managing travel and logistics for offsite meetings and team-building activities; preparing and distributing meeting agendas, pre-work assignments, and post-meeting action items; preparing, compiling and proofing presentation decks
* Draft, oversee and distribute internal communications/announcements on behalf of Commercial senior management
* Perform various HR-related tasks including: maintain department organization chart; proofread, standardize and file all departmental job descriptions; maintain database of prospective candidate CVs; coordinate interview schedules with HR; manage departmental onboarding/offboarding processes such as maintaining team distribution lists/meetings, drafting and sending announcements (new hire, termination, promotion, etc.), and organizing welcome breakfasts
* Maintain departmental databases, including birthdays, work anniversaries, emergency contact details; maintain/oversee the department master calendar; organize team activities, celebrations, and gifts
* Coordinate activities with and provide backup coverage support for other departmental administrators/coordinators
* Understand the legal and compliance environment and drive collaboration with the Legal and Compliance team
* Drive the spirit of 'ONE Team' across all functions by supporting a team approach to focus on our patients and customers as our top priorities

Experience and Skills
QUALIFICATIONS:
* Bachelor's degree highly preferred
* 7+ years of specialized executive administrative support experience of an increasingly responsible nature
* Pharmaceutical industry experience preferred
* High proficiency in Microsoft Outlook, Word, PowerPoint, and Excel
* Advanced working knowledge of travel and expense reporting systems (e.g., Concur) as well as tele- and video-conferencing systems (e.g., WebEx); knowledge of contracting/ERP systems a plus
* Must be able to work 8:30 am to 5:30 pm with flexibility for overtime and light travel as needed
