School Support Specialist (Project Management)

Essential Qualities

The School Support Specialist plays a critical role in ensuring the smooth operation of our schools by stepping into leadership vacancies as needed. This position provides support in key roles such as Assistant Director, Director of Family Services, and Mentor Coach. The School Support Specialist, must be adaptable, have strong leadership skills, and a deep understanding of school operations and educational best practices. Tulsa Educare is seeking a School Support Specialist who will make the commitment to perform with integrity and model these essential qualities:

Supporting Program Development and Oversight:

  • Foster a positive and collaborative school culture by maintaining clear and consistent communication with school leadership and staff.
  • Build trust with school teams by ensuring accountability, follow-through, and support for all staff members.
  • Implement and reinforce key operational systems to promote efficiency and effectiveness.
  • Ensure all leadership roles are functioning smoothly and effectively and Tulsa Educare Policies and Procedures are being implemented.
  • Support leadership meetings by developing systems that enhance accountability, follow-up, and execution.
  • Collaborate with the leadership team to design and implement intentional and supportive professional development opportunities for staff.
  • Ensure training initiatives align with school goals, staff needs, and best practices in education.
  • Support in the onboarding and transition of new leadership.
  • Understand, support, and implement the core features of Educare Learning Network (data utilization, intensive family engagement, embedded professional development, and high quality teaching practices) to improve child and family outcomes.
  • Ensure compliance in all state and federal standards are met including, Early Head Start, Oklahoma Department of Human Services Child Care Licensing Standards (DHS), Oklahoma Tribal licensing, National Association for the Education of Young Children (NAEYC) Accreditation standards, and Child and Adult Care Food Program (CACFP).

Interim School Support:

  • Provide collaborative support to the School Director during periods of leadership transition or vacancy, stepping in to ensure continuity of operations and decision-making.
  • Provide cross-functional leadership support by stepping in to assist with key responsibilities when roles such as Assistant Director, Director of Family Services, or Mentor Coach are vacant.
  • Maintain school operations by managing staff schedules, overseeing purchasing, supporting compliance with staff credentials, and coordinating with kitchen and disabilities teams.
  • Support family and classroom engagement efforts by helping track enrollment, family services, and classroom documentation, while also assisting with professional development planning and team support.
  • Collaborate with staff and leadership to maintain a high-quality learning environment.
  • Uphold Tulsa Educare's mission by fostering strong relationships with staff, students, and families.

Additional Duties:

  • Communicate regularly with the Senior Director of Schools to receive guidance, report progress, plan new strategies, discuss.
  • Communicate regularly with the School Director.
  • Partner with other school leaders with special projects, reports, and other duties as assigned.

 

Knowledge and Skills

Broad knowledge and experience in:

  • Support may be provided across multiple school sites as needed.
  • Demonstrate a high level of trustworthiness, professionalism, and discretion, given the sensitivity of the role.
  • Support adults as learners, with an understanding of their unique developmental needs and learning styles.
  • Creating an environment of mutual respect and partnerships between staff and families.
  • Demonstrating strong written and verbal communication skills to convey complex information in a clear and positive manner.
  • Facilitating, presenting, and effectively communicating to a diverse population.
  • Displaying excellent interpersonal and communication skills with drive, energy, and a passion for development of people and the department.
  • Applying theories and principles of family engagement, child development, and adult learning.
  • Using the goal setting theories to support growth in family outcomes.
  • Balancing and prioritizing multiple projects and priorities and following through to completion.
  • Maintaining strict confidentiality of extremely sensitive data.
  • MS Office skills, database software skills, organizational skills, efficiency skills and excellent attention to detail with a demonstrated commitment to completing assignments on a timely basis.

Minimum Qualifications

  • Master's or Bachelor's degree from an accredited university/college in Child & Family Development, Early Childhood, Social Work, or related field
  • Minimum two years of supervisory/management experience or two years of experience in an Educare school, and relevant experience providing services to families and children
  • Must be legally authorized to work in the United States
     

Other 

Primarily an office position with some local travel (exposure to normal traffic hazards). Ability to lift and carry up to 25 pounds. Regular and reliable attendance required.
