How you will contribute
We are seeking an experienced and highly organized Executive Assistant to support a team of Managing Directors within the Disputes and Investigations practice. The ideal candidate will play a key role in managing administrative operations, facilitating internal and client communication, and ensuring accurate and timely financial processing. T his position requires a hybrid schedule of 3 days in-office and 2 days remote per week.

Responsibilities

  • Prepare monthly client invoices, assist with collections, and maintain accounts receivable and payment tracking.
  • Draft conflict checks and set-up and close client project codes.
  • Submit expense reports and reconcile corporate credit card statements via Concur.
  • Track and submit weekly time entries.
  • Coordinate and manage Managing Directors' calendars, meetings, conference calls, and travel arrangements (air, hotel, car).
  • Arrange in-office meals and client hospitality.
  • Assist in preparing internal administrative materials for practice meetings.
  • Provide general administrative support, including document preparation, binding, and copying.
  • Greet and host clients and external visitors.
  • Research, prioritize, and follow up on incoming issues, ensuring proper communication flow and execution.
  • Facilitate communication between internal teams and external contacts.
  • Support ad hoc requests, departmental initiatives, and special projects as needed.

Qualifications
  • Bachelor's degree preferred; business-related field a plus.
  • Minimum 3 years of experience as an Executive Assistant or Executive Administrative Associate, preferably in consulting, legal, accounting, or professional services.
  • Proficient in Microsoft Office Suite, especially Outlook, Excel, Word, and PowerPoint.
  • Comfortable with client billing, expense processing, and financial tracking.
  • Experience with legal billing systems (e.g., CounselLink) is a plus.

The salary range is $75,000 - $90,000 annually, dependent on several variables including but not limited to education, experience, skills, and geography. In addition, A&M offers a discretionary bonus program which is based on a number of factors, including individual and firm performance. Please ask your recruiter for details.
