Lodging & Reservations Manager (Project Management)



SUMMARY
Responsible for managing all aspects of the Front Desk and Central Reservation Team. A key aspect of the role is managing multiple software systems and online booking platforms that extend GTR products to guests and OTA's. You will provide support to both Front Desk and Reservations agents so they may efficiently book lodging as well as all resort offerings to our guests and ensure that our guests receive exceptional service during their stay. This position works closely with the Director of Lodging & Reservations to oversee the development of the departments and to provide reporting and training to staff on operations, guest service, products, and sales techniques. Every effort is made to maximize occupancy & revenue while at the same time provide exceptional guest service. The Lodging and Reservations Manager works very closely with all revenue departments to develop advanced sales opportunities. A key part of every employee's job is to serve as a Targhee Ambassador, engaging the guest at every opportunity.

ESSENTIAL DUTIES AND RESPONSIBILITIES
include the following but are not limited to; other duties may be assigned.
1. Act as Administrator within multiple lodging software systems to:
a. Maintain lodging rates and availability, and overall system management.
b. Assist with creating and setting up Lodging promotions.
c. Create and utilize reports to assist with analysis and forecasting of rates and occupancy.
2. Manage Travel Agents, and Extranets across all booking channels, and standardized practices, efficiencies, policies, proper billing, auditing reconciling and communications.
3. Manage daily audits with a keen eye for discrepancy and detail.
a. Review rate plans, rate sets, packages, tax coding and ledger transfers.
b. Audit Travel Insurance Sales
4. Audit Availability daily.
a. Manage any overbookings.
b. Review group blocks and adjust maintenance blocks accordingly.
c. Track and process reservations agent commissions.
5. Act as Lodging Liaison to Sales Manager.
a. Work with Sales Manager and F&B Events Manager to finalize contracts.
b. Participate in weekly meetings with Sales Manager and F&B Events Manager.
c. Will be prime contact for Group Leaders regarding all items that are related to Lodging and Reservations.
d. Ensure group reservations are entered by the reservations team.
e. Prepare Private Booking Links for groups.
f. Work with Sales Manager and F&B Events Manager to finalize Group Statements and collect payment.
6. Will act as the liaison between Product Development, Reservations and Front Desk.
a. Will coordinate with Product Development regarding Aspenware and Inntopia Lodging products.
b. Will help to finalize Lodging Product sheets.
c. Will train staff on new products and help them prepare for product launches.
7. Recruit and train Team Members in all aspects of the Front Desk and Reservations positions.
a. Provide regular coaching and productive feedback to all team members.
b. Provide employee evaluations.
8. Flexible working hours, weekends and holidays may be required.
9. Job sharing may be required at times.
a. Will need to act as Lodging Agent, Night Auditor or Front Desk Agent at times.
10. Analize guest feedback and Survey responses and implement actions to improve guest experiences.
11. Maintain a positive and fun, yet productive and successful work environment.

RESPONSIBILITIES TO SAFETY
1. Protect the safety of self, co-workers, and Grand Targhee Resort guests always.
2. Report any potentially harmful equipment or situations to the immediate supervisor without delay.
3. Report safety-related accidents and incidents at once to immediate supervisor.
4. Follow all company and department safety policies and procedures as outlined in the Resort's Occupational Safety & Health Compliance Manual and department-specific procedures or manuals.
5. Operate equipment in a safe manner that will not lead to injury of yourself or others.
6. Drive in accordance with the law and Grand Targhee Resort policies.

SUPERVISORY RESPONSIBILITIES
This position provides daily supervision for staff and acts as lodging lead in absence of other supervisors/managers and assists in training front desk and reservations staff.

QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. · Previous experience leading a reservations or sales team.
· Previous Hospitality experience.
· Excellent people skills and guest service mentality required. Strong organizational skills required. Basic computer skills in Word and Excel required.
· Ability to work independently required.
· Knowledge of the following software is preferred but not required. Versa, Aspenware, Inntopia, SiteMInder, RTP, Expedia

EDUCATION and/or EXPERIENCE
Bachelor's degree desired. Previous experience in guest services, sales and hospitality is required.

LANGUAGE & MATHEMATICAL SKILLS
Strong written and verbal skills are necessary. Ability to export/analyze data in Excel. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

OTHER SKILLS AND ABILITIES
Must be well organized, self motivated and detail oriented. You must be able to approach confrontation and deal with difficult situations professionally.
