Administrative Assistant (Administrative)



St. Paul's Senior Services is excited to announce an amazing opportunity to be part of San Diego's St. Paul's PACE program (Program of All-Inclusive Care for the Elderly). This innovative program is for individuals 55 years or older, who are living with chronic illness, or disabilities and need coordinated medical care to continue living as independently as possible in their home and community. The healthcare teams at St. Paul's PACE provide a hands-on approach coordinating medical, social, and home care services so individuals no longer need to manage their medical care alone. 
Job Summary:

Creates and maintains organized and efficient systems for supporting the administrative needs of the Center Director. Prepares confidential correspondence and maintains classified files. Coordinates the submission and receipt of State Level of Care packages. Maintains professional communication with all contacts by phone, email, in writing, and in person. Shares responsibility with other PACE Center's Administrative Assistant I for providing administrative support to the Associate Medical Director.


Qualifications and Requirements:

  • Education: High School Diploma or equivalent required. Associate's degree (AA) or equivalent from a two-year college or technical school, bachelor degree preferred, or equivalent combination of education and experience preferred.
  • Experience: Two years of administrative support experience, four years preferred. A minimum of one year working with the frail or elderly population preferred.


Duties and Responsibilities:

  • Maintains daily schedules for the Center Director. Arranges conference calls and meetings as needed.
  • Performs data entry and maintains a variety of databases. Compiles and generates monthly statistics and reports. Reports must be highly accurate, detailed, and in most currently updated formats. Able to identify untoward statistical outliers indicating operational or financial concerns and bringing to the attention of the Center Director.
  • Meeting planner including scheduling, preparing agendas, preparing presenters, coordinate meeting rooms, food requests, and recording IDT Authorizations and writing meeting minutes according to accepted principles. Includes planning facility in-services, staff orientations, and Survey visits.
  • Coordinates the Center Director's, travel, participation in seminars, etc., as requested.
  • Arranges conference calls and webinars, sets up meeting room as needed, prepares with contact 
  • Performs other duties as required or requested.

YOU MUST BE ABLE TO CLEAR FINGERPRINTS THROUGH DOJ AND FBI IN ADDITION TO A DRUG SCREEN CLEARANCE.
