Senior Payroll Specialist (Agriculture)

Summary

This position is responsible for processing and managing the full end-to-end scope of CSS Farms' weekly and bi-weekly payroll including multi-state factors and taxation.  This position reports directly to the Director of Human Resources and works very closely with and is highly supported by the Senior HR Generalist and farm HR contacts.

 

Responsibilities

• Point person for CSS Farms on all things payroll related; manages the full process of our bi-weekly, weekly, and off-cycle payrolls for 300-900 employees
• Main point of contact for daily inquiries from CSS Farms locations regarding payroll processes, deadlines, pay questions, new hire information, etc.
• Supports sites in completion of time data files prior to payroll processing and provides training to site office administrator time system users as needed
• Support employees in the use of the UltiPro (UKG) Self-Service Portal
• Enters and validates employee data as it relates to payroll, direct deposit requests, deduction changes or other information as needed in payroll system
• Administers and manages the corporation pay card account including troubleshooting accounts, inputting new users and scheduling fund transfers
• Verifies and processes all manual pay changes including but not limited to discretionary and non-discretionary bonuses, retroactive pay corrections, tuition reimbursements and miscellaneous reimbursements
• Processes employment verifications that include payroll data requests and other programs such as worker's compensation cases as needed for payroll data
• Manages and reconciles all garnishments, levies and other wage attachments within the payroll system
• Processes and reconciles for accuracy all 401(k) contributions each pay cycle and submits funding for contributions within 401(k) system as required by regulations following payroll processing
• Monitors, corrects and communicates payroll related general ledger reports and fallouts as required; in addition, generates payroll reports as required for reconciliation, taxation reporting or as requested by site leaders
• Reconciles monthly benefit billing statements as related to payroll deductions and imputed income  
• Manages W-2/W-3 accuracy and generates year-end forms and reports as required
• Support paperwork processing of new hires, both seasonal and regular, for farms/locations

• Other HR and payroll duties, as assigned

Required Qualifications

• Associate or bachelor's degree in Accounting, Finance, Business Administration, a related field or commensurate work experience
• Strong attention to detail with ability to organize and prioritize detailed work during periods of higher workload (payroll weeks)
• Customer service mindset; demonstrates the willingness and drive to exceed expectations of the internal clients we support and ensure payroll needs are thoroughly explained and resolved
• Team focused; demonstrates the desire to collaborate, share openly, and work in a fun and engaging team environment
• Excellent communication skills, both written and oral

• Ability to support and maintain complete confidentiality with payroll and other HR related matters and documents at all times
• Fully proficient in the use of Microsoft Office software as well as general use of other windows-based computer programs including advanced Excel experience
• Ability to comprehend, read, write, and communicate proficiently in English and interact with all levels of the organization
• Candidates must be eligible to work unrestricted in the U.S. without company sponsorship

Preferred Qualifications

• 5+ years of experience in with full scope payroll processing and reconciliation

• 5+ years' experience with HRIS data and pay systems (i.e. UKG, ADP, Paylocity or similar), with UKG being the preferred system
• Excellent written and oral communication skills
• Prior exposure to agriculture work environment.
