Role description:
As a Construction Relations/Special Events Coordinator you will develop a timeline around the Run of Show that includes arrival times of groups, pre-event roles and set up, logistics during the event, and post-event strike timeline and onsite briefings.
Role accountabilities:
Work with the media relations lead to prepare a briefing paper. Will be responsible for writing a brief description of the event in the Program section and a high-level timeline of the program in the Run of Show section.
The Special Events Coordinator will complete the Communications Plan by filling in the Activities/Tactics section with tasks and corresponding leads in the matrix, identifying all event roles and leads, including speaker handlers and logistical support leads, and deliverables, start and end dates, etc.
Will be responsible for leading all event meetings and delegating tasks to department partners. Will assign event roles and responsibilities to the core planning team that includes multiple departmental leads, including assigning team members to staff speakers as speaker handlers and other event setup roles, plus recruit additional event staff from partner departments.
Serves as an assistant reporting to Construction Relations Manager.
Qualifications & Experience:
Bachelor's degree in Communications or related field desirable, experience can be substituted year for year.
Three (3) years of experience in Community Relations dealing with the interface of construction activities, government agencies, business, and the public.
Three (3) years of experience in event management or event production with expertise in running multiple events simultaneously.
