THIS POSITION IS LOCATED IN PLEASANT GROVE. 

POSITION SUMMARY

The Executive Assistant will be responsible for organizing and assisting the executive team to help increase their productivity. In addition, the Executive Assistant will also provide support on projects/programs for administrative departments. The position requires dealing with confidential matters and dealing with all levels of customers and employees in a positive manner.

QUALIFICATIONS AND REQUIREMENTS

DUTIES AND RESPONSIBILITIES 

  • Research, prepare, and coordinate reports to the executives, committees, and board of directors.
  • Organize meetings including negotiating facility arrangements, planning content, and travel arrangements.
  • Prepare agendas and make arrangements for committee, board, and other meetings.
  • Build and maintain credibility, trust, and support with senior executive constituencies.
  •  Coordinate and ensure smooth running of executives' schedules for internal and external meetings.
  •  Take minutes for meetings as needed.
  •  Draft and proofread correspondence and other documents for executives.
  •  Coordinate and schedule executives' and others needed travel and conference arrangements.
  •  Assist with preparation of presentation materials for executives including PowerPoint presentations.
  •  Set-up and maintain filing systems pertinent to executives' activities.
  •  Provide general administrative support to executives.
  •  Assist in organizing executives' work environment to be more productive.
  •  Coordinate and monitor company sponsored events for customers.
  •  Participate in internal marketing campaigns.
  •  Manage ordering and inventory levels of company forms and coordinate with MBS.
  •  Ordering office supplies for meetings, events and supply cabinet.
  •  Assist executives with expense reporting and submission.
  •  Track and ensure currency of all company insurance policies.
  •  Assist Facilities Department with project tracking and coordination.
  •  Analyze incoming mail and distribute appropriately.
  • Help build relationships crucial to the success of the company.
  • Other duties as assigned.

The employee must regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 25, and occasionally lift and/or move 50 pounds.
