Cozen O'Connor is seeking a full-time Subrogation Litigation Secretary to support its Subrogation & Recovery practice.
Job Duties and Responsibilities
Type, transcribe and revise all communications and legal documents, charts and tables.
Draft, create and update various attorney documents such as docket sheets, case file logs and client required budgets, pleadings and/or discovery.
Organize, prepare and maintain client and office files both in electronic and paper filing systems.
Open and sort incoming communications via standard or electronic delivery and distribute appropriately.
Process attorney weekly time summaries, expense reports, check requests and travel arrangements.
Prepare and submit new client and/or new matter forms and sub-files.
Coordinate and Calendar all pertinent meetings including but not limited to client meetings, hearings, depositions, arbitrations, mediations, court reporters, conference calls and client tasks per firm guidelines.
Proofread all work for both content and context.
Qualifications and Requirements
At least three (3) years' related legal or secretarial experience.
Typing skills of 75 w.p.m.
Must possess strong organizational and communications skills, both verbal and written.
Must be detail oriented and able to multi-task.
Strong document processing and project management skills.
Proficient in advanced levels of Microsoft Outlook, Excel and Word and the use and application of Styles, Redlining, Adobe Pro and PDF Docs4.
Must be familiar with setting up and processing Tables of Contents and Tables of Authorities.
Must be able to operate the Firm's software applications on an advanced level within a reasonable period of time, and possess excellent reading comprehension and proofreading skills.
Outstanding written and verbal communications and able to professionally interact with clients, attorneys, and staff.
Experience in working collaboratively and applying individual commitment to a group or team environment in the spirit of cooperation to successfully complete tasks efficiently and quickly.
Experience with document management program (iManage DeskSite preferred).
Experience with efiling in both state and federal courts or similar mandated efiling vendor for state filings and CM/ECF for federal filings.
Ability to manage and track cases in multiple jurisdictions.
Experience in and/or understanding of Subrogation, Insurance Defense and Insurance Coverage preferred; working knowledge of subrogation litigation a plus.
High School Diploma or equivalent required.
Assignments may change from time-to-time and flexibility is essential. Secretaries are expected to extend support and service not only to primary attorneys, but to any attorney within the office as requested. Each secretary's assignment may differ according to the area of law and each attorney's preferred workflow.
