Logistics Administrator Assistant-Baytown (Finance)

In the role of logistics administrator assistant will report to the Logistics manager and support the Logistics team in daily, weekly, and monthly operational and compliance requirements. This role will be directly responsible to:

  • Enter internal driver pay daily, and ensure the time is properly coded to inventory, customer, and or jobs.
  • Enter equipment utilization daily and properly code to ensure revenue and cost go into the proper business and cost types
  • Manage our driver coaching for our camera systems, and ensure we are staying up on coaching events as well as filtering out unnecessary false alerts
  • Develop and maintain a driver recognition program
  • Review hours of service logs daily and make and corrections in the electronic logging devices that are not assigned
  • Communicate weekly to the logistics manager any drivers that are at risk of going over hours to ensure proper scheduling to maintain compliance
  • Create and maintain equipment (truck and trailer) repair log to support shop and dispatch working together to ensure trucks are getting repaired, swapping out units that need repair for spare units to ensure our drivers are able to run daily.
  • Deploy electronic Driver Vehicle Inspection Record with WhipAround software that meets chain of command requirements when equipment needs repairs, and all out of service vehicles are signed off by mechanic and driver prior to going back in service.
  • Working with the logistics manager to hire and ensure our trucks are all occupied, as well as hire additional drivers in the peak season so we can slip seat when needed.
  • Support drivers and track all time off, hours disputes, and any other additional HR coordination and documentation required.
  • Help the logistics manager document, trend, and maintain key performance metrics that will support best practices and decision making. This will include but not limited to driver start up and shutdown times, R&M budgets versus actual, and overtime percentage for the logistics team to maintain proper forecasting and budget throughout the year.
  • Work with the sales admins as needed to ensure proper freight rate and freight pay is in the orders, and any modifications are communicated and executed.
  • Work with the vendor team and third party truck vendors to ensure annual contract and insurance is all accounted for, as well as continued pursuit of dedicated fleet owners to support our business
  • Coordinate the annual third party trucking meeting each winter
  • Work with our driver supervisor and help coordinate truck and trailer inspections 60 days prior to tags expiring
  • Coordinate with and support the DOT Compliance person and driver supervisor to ensure our team is up to date and drivers have all their "go to work" records in the vehicle, as well as ensuring the compliance person has copies of any records generated in the field such as citations, clean inspections, and all other field generated paper documents.
