Event Coordinator-Oklahoma Recruitment & Campus Experience (Project Management)



The Office of Admissions & Recruitment (OAR) works to bring in the next generation of Sooners. Our team operates from Norman as well as across the state, nation and world. We provide support to incoming domestic and international freshman and transfer students as they navigate the college application and decision process. Additionally, we partner with parents, counselors, and communities in providing resources to students interested in higher education. Our goal is to build a vibrant community with limitless potential by recruiting the most academically qualified students with a variety of educational, service, involvement and community experiences.

Essential Duties: Coordinates, plans, monitors logistics, and provides support for events and conferences.

  • Coordinate several annual on-campus and virtual recruitment events for prospective students to connect with the University of Oklahoma by developing event registration, communication, logistics, and coordinating staff and student staff needs. 
  • Support all campus visit experiences including campus tours, personalized visits, and group experiences as a part of the Campus Experience Team within the Office of Admissions & Recruitment.
  • Assist the Senior Assistant Director with coordinating academic partner events and planning large scale recruitment/non-recruitment events and competitive research initiatives.
  • Lead admissions & recruitment staff serving on several annual event committees from planning stages to execution and post-event feedback.
  • Create strategy and experiences to ensure we meet the needs of the distinct population of prospective students the Office of Admissions & Recruitment actively recruits.
  • Assist with coordinating personalized visits for prospective students and coordinate group tour experiences.
  • Present, engage, and communicate with prospective students, high school stakeholders, and community/OU partners.
  • Works with prospective students and their families throughout the admission, scholarship, housing, financial aid, and enrollment processes. This includes answering phone calls and reading admissions applications throughout cycle.
  • Coordinates and executes logistical aspects of events and conferences, including scheduling, venue booking, lodging, travel, catering, and participant registration.
  • Manages event communications, budgeting, reporting, and on-site setup, ensuring smooth operations and attendee engagement.
  • Performs various duties as needed to successfully fulfill the function of the position.

Required Education:  Bachelor's degree, AND: 

  • 12 months experience in event planning and coordination, outreach or public relations.

Equivalency/Substitution:  Will accept 48 months of related experience in lieu of the Bachelor's degree for a total of 60 months experience.

Skills:

  • Highly organized and ability to handle multiple projects and deadlines
  • Detail oriented for accuracy of data and information
  • Ability to accurately read and understand written materials and instructions
  • Customer service skills
  • Proficient in Microsoft Office (Word, Outlook, Excel, and PowerPoint)
  • Ability to effectively communicate verbally and in writing

Certifications:

  • Valid Oklahoma Driver's License in order to drive University vehicles or ability to obtain within 30 days of hire date

Advertised Physical Requirements:

  • Ability to engage in repetitive motions.
  • Ability to communicate verbally in order to express oneself and exchange detailed information with others.
  • Ability to lift up to 50 lbs.
  • Frequent exposure to pressure caused by deadlines and busy periods.
  • Requires contact with other departments and university officials.  
  • May be required to travel.
