Under general supervision, the Associate is responsible for support of the company's international distributors, subsidiary offices, and sales departments. These functions include Trade Compliance, receiving and entering sales orders into the computer, tracking progress of orders, responding to customer inquiries concerning price or availability, complaint and product return processing and providing general support and education.
Function as on site Trade Compliance to ensure adherence to international regulations and compliance policies, including but not limited to: AES filings, shipping documents required for international shipments, and work with Fish & Wildlife Agency to ensure proper delivery of biologic products. Inputs international subsidiaries and distributors orders placed by e-mail, fax or phone. Reviews orders for customer requirements, shipping instructions and any special handling requirements. Supports any special customer needs (i.e., special pricing, earned product, etc.). Generates and sends Proforma invoices confirming international orders. Responds to international inquires (i.e., pricing, order status, etc.). Resolves issues or problems, or forward to appropriate personnel for resolution. Generates routine correspondence as necessary. Researches, tracks status and invoices RTI orders. Makes necessary determination if product/quantity/customer can be supplied or if interaction with Planning is necessary. Works with Planning on future dating international orders. Submits all large quantity orders to Planning for estimated release dates. Processes international customer complaints according to department guidelines: Receives emails or faxes and records complaint data; enters all complaints into system. Processes international product returns according to departmental guidelines: Receives inquires and issues product return numbers. Prepares special invoices needed for shipping as per countries requirements. Sends invoice copies to distributor as requested. Provide special international shipping invoices for other departments as needed. Processes debits/credits for pricing and shipping discrepancies. Files hard copies of orders/debits/credits and appropriate approvals. Runs open orders/invoicing reports as requested by Sales management. Reviews materials or attends training sessions to remain current on Zimmer Biomet general policies and procedures, and new products.
• Excellent organizational skills. • Effective verbal and written communication skills. • Must have the ability to produce quality work under pressure when tight deadlines are imposed. • Good problem solving, analytical and interpersonal skills are necessary. • Knowledge of international subsidiaries is beneficial. Knowledge of export documentation, transportation modes, U.S. and foreign government regulations preferred.
• Minimum of three years administrative, customer service or sales experience in an international environment. College degree preferred by not required.
