Order Coordinator (Separation) (Administrative)

OBJECTIVE (broad function, scope and purpose for the position)
The Order Coordinator provides overall support for new parts and repair work for both our external and internal customers. Key areas include: Overall management / administration of each repair and parts order, and continually seek ways to improve the order process. The Order Coordinator contacts sales personnel to discuss orders as needed, provides accurate invoices, and works to maintain acceptable margins.
BRIEF DESCRIPTION OF POSITION (outline job duties and responsibilities):
Research customer equipment in proprietary systems to confirm accuracy of parts and lead time Open and maintain repair orders with accurate information Perform tasks within proprietary applications in MRP and Lotus Notes systems (order parts and expedite as needed, create PO's for outsource operations, occasionally schedule freight, etc.) Purchase shop MRO and consumable items and perform AE reconciliation. Work with the management team and/or shop coordinators for scheduling and prioritizing incoming repair jobs Interact and communicate critical order information to workshop and end customers Assist Service Center team to meet published baseline measurements and KPI's Review orders for accuracy and approve jobs for invoicing Invoice repairs to end customers after completion, shipment, and receipt of Proof of Delivery Provide necessary support to Shared Services regarding Account Receivable issues and creating new customer accounts Spare parts order entry and execution, coordinating with Greenwood and other sites as needed ACT claims system: register, create and complete remedial actions, track warranty costs and update actions as needed in accordance with the global claims rules Acts as primary backup for Shop Coordinator as needed Positive participation in meetings, ALPS and improvement initiatives Back up ALSO and Payroll Timekeeping for Hourly workers Perform other duties as directed by Management
ORGANIZATIONAL COMPONENTS (level of functional responsibility, relationships, level of direction received, ability to initiate work):
The Order Coordinator reports directly to the Service Center Manager and works with Shop Supervisor, Shop Coordinators, Team Leads and may indirectly receive direction from other Managers and Directors. Functions with minimal supervision to open execute orders, communicate with internal and external customers, and work with team members to meet KPI's and improve every customer experience.

EDUCATION, EXPERIENCE AND CERTIFICATION/REGISTRATION DESIRED
Education (degree or years) and/or Certification/Registration:
High School or GED equivalent
Type and Length of Experience:
Five years hands-on experience with repairing/reconditioning in a manufacturing, job shop or customer service environment desirable.
Knowledge, Skills, Abilities and Attributes Desired in Candidate:
Ability to read and work from blueprints
Ability to prioritize work and meet deadlines
Strong communication and respectful interpersonal skills both written and verbal
Demonstrate ability to perform effectively within a team environment
Some understanding of machining and welding techniques
Ability to work within stressful situations
Fundamental knowledge of standard word processing software and spreadsheets
PHYSICAL & ENVIRONMENTAL FACTORS
Physical Requirements (lifting, climbing, standing, equipment use):
May have occasion to move parts up to 25 lbs.
Environmental Factors (hazardous materials, work location, work surfaces, exposure):
Main job is in an office environment with approximately 25% of the time in a machine shop & welding environment where there is the possibility of encountering residues of customers' products.
OTHER REQUIREMENTS (i.e., travel, motor vehicle use, etc.)
Some travel within the USA to visit customers or other Service Centers; meetings; training.
Occasional requirements to travel outside of the USA to visit customers; training; meetings.
