The responsibilities of this position will be to perform clerical and analytical duties related to processing the sales department merchandising claims and invoicing, salesmen commissions, ordering of allied products, and various inventory responsibilities in a manner that reflects the company's vision of working as “One Professional Team.”

Pay Rate:  $
Pay rate is dependent upon education & experience.

Essential Functions:

  • Completes all gross-profit worksheets for sales, conversions, and leases that include costs, credits, and accruals for accounting, including factory rebates and post-sale credits
  • Reports all new sales to Caterpillar (CAT) through the CSS Reporting System
  • Files all CAT programs that are eligible for each transaction
  • Provides all pertinent back-up information to CAT for timely payment of programs and quarterly audit
  • Approves credits, rebates, and other claims for Accounts Payable
  • Maintains monthly open-accrual report for accuracy
  • Maintains spreadsheets for all CAT claims filed, as well as warranty from CAT
  • Handles all types of invoicing transactions – sales, rental, leases, and conversions
  • Assures payment of CAT invoices
  • Reviews and maintains daily reservation report for accuracy
  • Responsible for ordering and managing all allied equipment for our earthmoving division
  • Manages all transportation from our vendors and amongst our territory for allied equipment
  • Manages the inventory by reviewing aging inventory, making decisions on excess or short positions, and disposes of slow-moving inventory
  • Is responsible for equipment package configurations, and pricing
  • Is responsible for back up and support for the Prime Product Order Specialist
  • Supports sales management via analysis on special projects as needed
  • Other duties as assigned by manager

Required Education & Experience: 

  • High School Diploma or GED
  • 2 years of administrative experience with an emphasis in accounting

Physical Demands & Competencies:

  • Standing, walking, talking, sitting, use of hands & hearing
  • Sedentary work that primarily involves sitting/standing but may require occasionally lifting and/or moving up to 25 pounds
  • Data Entry, telephone, reading/writing, reasoning, organizational, communication & math skills
  • Safety & Product Knowledge
  • Advanced knowledge of Microsoft Outlook and Excel

Work Environment: 

  • Noise: Quiet
  • Indoor
