Job Summary:

The purpose of this job is to integrate and ensure that the Newmark hub FM and PM organizations are in compliance with the Dow Operating Discipline Management System, including Training, Record Keeping, EH&S, Management Systems and Processes, Facility Operations and Regulatory Processes.  This position has the responsibility to lead the ODMS process, assuring that Newmark is working safely and efficiently and driving best in class performance.

The ODMS Specialist will lead the successful implementation and utilization of the Operating Discipline Management System, including Web EDMS, Web MOC, EATool, Diamond Learning and other tools and ensure ODMS is effectively implemented, utilized and maintained and value creation is maximized. The incumbent is responsible to set training requirements for individuals, recommend individuals for addition to the Delegation of Authority list and act as the Focal Point for the Management of Change process.

Key Responsibilities:

  • Subject matter expert for the Operating Discipline Management System
  • Use relationship and other skills to set, implement and enforce training and reporting requirements for staff that do not report directly to them
  • Act as the Focal Point for the Management of Change process.  Determine, based on skills and training the reviewers and approvers and timelines necessary for each event being submitted to the MOC work process
  • Review training records, compile feedback and perform analysis of applicants for Delegation of Authority list to be presented to Dow WPS.  Successful applicants have the authority to write Safe Work Permits in the name of the WPS approver
  • Obtain support from Workplace Services and team leadership for implementation plans
  • Lead overall ODMS "implement" and "maintain" efforts for NKF Hubs and Region
  • Lead department ODMS self-assessments
  • Help Focal Points identify and prioritizes opportunities
  • Defines resources needed to ensure the management system brings value to the organization
  • Leads the Management System Review process for their organization.
  • Leads implementation of ODMS changes for department and team
  • Train new facilities employees and facilities contractors in ODMS
  • Track compliance and communicates overdue training items to employees, teams and leadership to deliver 100% training compliance
  • Partners with MOC owners to ensure that training related requirements are achieved
  • May perform other duties as assigned

Skills, Education and Experience:

  • Bachelor or Associate Degree preferred; minimum of a High School Diploma or GED
  • Minimum of 4 years of applicable experience required
  • 2 + years of experience in an ODMS Coordinator role beneficial
  • Ability to host and run meetings required
  • Auditing experience desirable
  • Able to understand, analyze, and resolve technical problems in work area
  • Must pass all training in Dow systems to work within the ODMS system
  • Demonstrate leadership skills - inspire others and lead them through influence
  • Position requires the ability to work alone and make/enforce decisions that may cause delay
  • Able to communicate well, verbally and in writing, and have strong reading comprehension and listening skills
  • Must have strong multi-tasking, problem solving and time management skills
  • A self-starter who is self-motivated and can identify, prioritize and accomplish multiple tasks
  • Able to work within an empowered team environment
  • Ability to work with diverse work groups
  • Have a high regard for personal safety and the safety of others
  • Proficiency in Microsoft applications, such as Word, Excel, Outlook and PowerPoint, and have the ability to learn new systems quickly
  • Must have a current, valid, United States driver license
