Job Summary: Scheduling is a department within the Central Billing office that is responsible for administrative functions including, but not limited to, receiving and processing accurately all incoming faxes and email (e.g. referrals, plans of care, authorizations, correspondence, subpoenas, etc.), scheduling initial evaluations, answering clinic roll-over calls and performing all related scheduling functions. Essential Responsibilities, as assigned: Processes all incoming faxes and intake emails received.Sorts referrals, clinic correspondence such as plan of care, subpoena and/or medical records requestsLogs and links patient referrals into the Referral Log Database.Scans miscellaneous correspondence into specific clinic folders on the network.Contacts all new patients that have been referred for PT/OT within 24 hours upon receipt of referral and schedules Initial Evaluation scheduled with specific clinic location. Records all attempts to contact the patient in the referral database.Makes second/third attempt calls patients that are not currently scheduled for initial evaluationSchedules all ErgoScience, Return to Work, Post Offer Tests and FCE appointmentsCalls Initial Evaluation cancels/no shows in order to reschedule appointmentsAssists with Intake emails regarding clinic requestsScans and links insurance cards upon receipt from clinic and verifies that that the insurance verified matches the information on the insurances cardsMeets productivity requirements established for each function within the departmentAnswers telephones including clinic roll-over phone calls and directs incoming telephone calls.Understands that our customers are both internal and external to the organization and that all staff is expected to uphold the Service Culture Theme and StandardsPerforms other duties or special projects as assigned. Required Skills & Abilities: Strong interpersonal, oral (especially telephone) and written communication skillsGood organizational skills and ability to prioritize to meet deadlinesMedical terminologyAbility to use all necessary office equipment, faxes, copiers, etc.Ability to interact well with other staff members, customers, field associates, and businesses.Ability to type 60 words per minute preferred.Strong customer service skills.Problem solving skills Required Credentials: High School Diploma required.Medical office experience preferred.
