Operations Coordinator (Transportation)



Position Title: Operations Coordinator (S2)

Role

Supports a team (Region, District, Area, or Functional group) with assigned tasks, projects and could include, but is not limited to, the following: correspondence, various administration tasks, utilizes project management fundamentals to track project deliverables, dates and deadlines, provides regular and timely reports highlighting variances as they arise.

Responsibilities

  • Responsible for providing day to day analysis, assistance, and technical or administrative coordination in support of projects.
  • Develops, maintains, and monitors accurate and complete files for projects and programs
  • Updates system(s) to ensure that data accuracy and integrity are maintained
  • May initiate and monitor routine interactions/tasks with external stakeholders, including but not limited to applications to utilities and municipalities
  • Creates and distributes correspondence and reports relevant to the team, project or program (internal and external)
  • Develops progress reports, tracks progress and identifies/resolves obstacles.
  • Communicates issues to management prior to reaching critical status
  • Communicates to internal and external clients, performs administrative tasks such as arranging and coordinating meetings, budget analysis, and analysis of planning and strategy needs to develop agendas or prepare progress reports.
  • Prepares and submits purchase orders and processes contractor invoices for various office management functions such as check requests, supply ordering, package shipment, office vendor coordination and payment
  • Assists with project financials and milestone management, such as forecasting, issuing and receiving on vendor POs, issuing PORs to the customer, invoicing on customer POs, tracking and resolving past due invoices
  • Assists with administrative preparation and coordination for meetings and events
  • Assists with ad hoc reporting requests

Education/Certifications

  • High school diploma or equivalent
  • Associate degree or equivalent work experience preferred

Experience/Minimum Requirements

  • One (1) + year(s) in a general business environment with project coordination and/or administrative support experience preferred

  • Communicates effectively and demonstrates strong interpersonal skills
  • Exhibits strong customer focus and problem-solving approach
  • Skilled with Excel, Visio, Word and PowerPoint
  • Adapts quickly to learn new tracking and software programs
  • Prioritizes effectively across multiple tasks in a fast-paced environment
  • Demonstrates excellent organizational/administrative skills
  • Possesses basic telecommunications experience/knowledge
  • Understanding of project management principles

Working Conditions: This role falls into our hybrid work model working in the office on Monday through Thursday.  On Fridays, teammates on the hybrid schedule will have the option to work from the office or home.  There is an expectation of collaboration with teammates and stakeholders for moments that matter that could require travel.
